iManage Updates July 2025: What Law Firms Need to Know - STS

Many law firms are making the transition to iManage Cloud, either from existing on-premise iManage services or from another DMS platform. If your law firm is one of them, you won’t want to miss these important updates to the iManage Cloud transition process and engagement.  

Let’s dive into the latest from iManage. 

 

#1: Pause your renaming: Rename Restrictions 

Hold off on making rename requests if you’re already engaged in the transition to iManage Cloud. Renaming items in iManage should be put on hold until your cloud transition is complete to avoid impact to My Matters and My Favorites migration.  
 
 

#2: Pricing may change: AMMP Rate Guidance 

iManage rates shared without formal AMMP approval will not be honored. iManage states that the rates are “defined by Microsoft and may change at any time without prior notice.” 

To break it down simply, the Azure Migration and Modernization Program requires approval before rates are communicated from a provider to a user, which may be an extra step in the process for your IT provider. Be sure that your provider has gotten AMMP approval prior to quoting your price, and that any changes are communicated promptly, as rates are subject to change and not guaranteed. 

 

 
 

#3: Time to upgrade: Work Desktop for Windows 10.9 transition advisory 
 

You may have been made aware already of the end-of-life deadline for Windows 10 in October, but you should also know that Work Desktop for Windows 10.8.x, a common instance at law firms today, will reach its end of life just next year.  

iManage is advising partners of the following regarding Microsoft compatibility:  “Work Desktop for Windows 10.8.x will reach end-of-life on June 30, 2026. Transitioning customers should be moved to WDW 10.9 as part of their service migration.” 

This means that your IT partner will need to upgrade your Microsoft environment in addition to making the iManage cloud transition in order for your iManage Cloud service to remain compatible and usable with your systems. To do so, your IT partner will need to upgrade the installation on every laptop and desktop  with iManage Work Desktop installed. 
 
Upgrading provides additional benefits as well—stronger security, better compatibility with cloud applications overall, and an enhanced user experience. Now is a great time to start this transition—proactive IT planning helps your law firm mitigate risk and avoid costly and complex last-minute projects!  

 

#4. User provisioning recommendations: SCIM Usage Guidelines 


iManage now formally recommends a limited test with automated user provisioning to prevent multiple unnecessary users from being synchronized or duplicate creations. However, new iManage guidance emphasizes that this test should be performed with a “limited number of users only,” and specifically instructs IT providers not to modify USERIDs. Be sure that your IT partner is aware of this guidance to avoid any impact to your user base.  
 

#5: Opportunities for improvement: DOCNUM Gap 


iManage now notes that any large gaps in document number will be identified and discussed with service professionals prior to transitioning. Your IT partner should take this change as an opportunity to better understand your data, past imports, and present requirements. Leveraging this information may help your IT partner enhance the results of your transition and provide you with a more organized and user-friendly instance after your migration is complete.  

 

#6: Warning to G Suite Users: Gmail * Google Workspace Deprecation 

 
If you’ve been considering switching to Microsoft Outlook from GMail, now is a great time to do so. Support for iManage Work for Gmail and iManage Work for Google Workspace will end on June 15, 2026. Those using G-Suite will no longer have access to support or updates for this integration.  

  

#7: Smoother transitions: Pre-Migration Eligibility 

For qualifying users, transitioning to iManage cloud will become faster and more efficient courtesy of iManage’s new pre-migration process. IManage shares that “customers with under 20 million documents and a single library will undergo pre-migration ahead of their service transition.” Pre-migration will speed up the overall process and ensure a smooth service transition for existing iManage users meeting these qualifications. IT professionals can expect that more news about this process will be revealed in the near future. 

 

#8: New deadline approaches: Comms for large customers 

For customers with over 20 million documents, multi-library, and multi-region configurations, an extension to the prior data remediation deadline has been created. Users will now be required to complete data remediation by end of Q1 2026. But, don’t procrastinate this crucial step—you will want to clear the deadline with time to spare should any interruptions occur or issues arise requiring further remediation.  

 

#9: Functionality limitation: RM for eRecords Notice 

eRecords users take note of the following new guidance from iManage: “Customers using RM for eRecords are advised to wait for the official migration solution. Those who choose to move to cloudimanage.com now will lose access to eRecords functionality until the solution is deployed. Follow the RM Service Transition FAQ for updates.” For existing users leveraging eRecords, it is advisable to consider pausing your cloud transition until a cloud-ready solution becomes available, so that you may avoid these interruptions in functionality and maintain access to your important records.
